Administrative and Finance Assistant (2 Positions)

International Organization for Migration (IOM) Padang is looking for Administrative and Finance Assistant (2 Position) according to the terms of reference below. Duty Station : Padang, West Sumatera, Indonesia
Type of contract : Special All Inclusive
Duration of contract : Three months initial contract, with possibility of extension

General Functions

Under the direct supervision of the Head of Sub-office (HoSO) and in close coordination with relevant units in Jakarta and other sub-office in Indonesia, the incumbent will be responsible in providing administrative and finance support services to the sub-office. In particular, he/she will :

1. Responsible for petty cash of the sub-office, replenishments and reimbursements as well as preparation of petty cash reports; Process and release cash payments to staff and other payees approved by the HoSO. Ensure that all disbursements have supporting documentations.
2. Prepare daily financial report reflecting all cash receipts and expenditures including bank transactions for review by HoSO and submission to RMO/SRMO in Jakarta.
3. Review all payment requests and supporting documentations prior to processing of payments.
4. Maintain an efficient filing system of all financial regulations of the Organization and other supporting documents.
5. Coordinate with Jakarta finance staff for all finance matters, request for budget, etc;
6. Coordinate with the Human Resources staff in Jakarta for staffing needs, contract preparation, medical clearance of incoming staff member, etc.
7. Provide induction and briefing to new staff members with regards to their terms of reference and the terms and conditions of their employment
8. Establish and maintain employee attendance records and leave requests forms and forward it to Jakarta HR for payroll purposes.
9. Perform other duties as may be required.

Desirable qualifications :

Diploma in Accountancy, Business Management, or alternatively, a combination of training and experience in these fields. A university degree in any of these fields will be highly regarded. At least one to three years of administrative and accounting experience. Knowledge, skill and ability to extract, interpret, analyze and process financial data. Effective organizational skill and ability to establish/organize priorities and plans. Ability to work under pressure and cope with deadlines. Ability to prepare clear and concise reports.

Good written and spoken communications skills. Good interpersonal skills Ability to
work in a multi-cultural environment.

Thorough knowledge of English.
