Coordinator Assistant

Médecins du Monde (MDM) is an international medical Non-Governmental
Organisation (NGO) that is implementing a health program in Puncak Jaya
district, Papua. MDM supports health staff and communities in improving
the district health situation by technical capacity building, training
and education. MDM focus on Primary Health Care, including prevention of
Sexual Transmitted Infections and HIV/AIDS. Médecins du Monde
supports vulnerable population worldwide to reach an improved health
status and its right to health. MDM works on basis of impartiality and
neutrality.

As part of its program Medecins du Monde will employ a Coordinator
Assistant to join its team in Puncak Jaya District (Mulia).

- Duration : Determined contract – 1 year including 3 months trial period, starting mid of January 2010

Salary, working conditions and position will be subject to MDM staff
internal Regulations for Indonesian missions. The Gross Monthly Salary
is Rp. 6.146.000 IDR. (Adapt to MDM salary scale 7. Income tax and
social insurance to be deducted from this).

- Base: Mulia (Kab. Puncak Jaya), with frequent travels to
Jayapura and Puncak (by foot and/or plane),

- Working hours: 40 hours a week, from Monday to Friday, 8:00am – 4:30pm

- Hierarchy association: He/she is under hierarchic
responsibility of the Program Coordinator for Papua. He/she should work
in coordination with the team based in Puncak Jaya.


The area of the medical program is situated in between 1800-2400m above
see level and characterised by daily rainfall and moderate temperature.
Accommodation is comfortable but basic and has limited access to
electricity, warm water and communication services. A good physical
condition is required as access is only by foot.

The main activities will consist of:

1- Public Relations

The assistant will mainly be a public relation and liaison officer and
will:

· Keep in contact with all MDM partners and important contact
persons (authorities and organisations) in order to keep them informed
about MDM and collect information or participate to important events.
· Organize appointments for the coordinator.
· Security meetings with the MDM team
· Regular encounterings with Police services to update the security situation.

2-Team support
· To lead the national team in absence of the MDM coordinator.
· Be a facilitator and a strong support for the team on the field.
· Be a referent in the team communication.
· To be the link between the Mulia team and the Jayapura team (administration and logistic) for organisational issues.
· Follow up of the program decisions with the team and update regularly the MDM coordinator
· In case of need the assistant coordinator can be asked to assist other members of the team.
· Assist the MdM coordinator and the team in conducting health training, education activities (with the community health referent) and outreach services (with the medical team).
· To accompany the coordinator in the recruitment of the team.
· To be responsible for: the organisation & follow-up of Mulia base, the conduct and the report of the weekly team meeting when in Mulia.

3-Assisting Coordination
· Organize and initiate meetings in accordance with the coordinator planning.
· Attend the meetings and appointments with the coordinator to translate in English and Bahasa Indonesia.
· Assist the coordinator during his/her travels (translation and organisation).
· Attend meetings and report meeting contents.
· Provide analysis of political, general and security context.

4- Letters and translation
· Type and translate letters or other documents made by the coordinator.
· Translate others documents needed for the project. (from English to Bahasa Indonesian and the other way around).
· Participate in the elaboration and the translation of medical, planning or training modules.

5- Information
· Collect useful information and report it to the MdM coordinator.
· Update the list of important contacts for the project.
· To order, collect and archive office and training materials
. To participate in media campaigns.
· 6. Administration and logistic on the field
· Be a representative of administration for the team on the field (to check salary sheet, overtime, perdiem).
· Be a representative of logistic to follow all deliveries with MDM logistic department and logistic management on the field.

7. Miscellaneous
· To participate in assessments with the coordinator and team, when necessary.
· Any other activities delegated by thel coordinator (e.g. participation in the NGO, DinKes and UN meetings & workshops).

Profile of the candidate:

Training:
· Preferable Bachelor or higher degree in social, education or linguistic sciences.
. Coordination or / and management training.
· Training of Trainers in management or communication.
· Training on HIV/AIDS.

Experience:

· Relevant working experience at (international) NGO level
· Working experience with health organization will be an asset.
· Team leadership experience particularly at NGO level.
· Working experience with Papuan native tribes (or communities) and knowledge of western dani/ lani language is an asset.

Language:

· Fluent in oral and written Bahasa Indonesia andin English .

Skills and qualities required:

· Interest, openness and flexibility in working with native Papuan population.
· Openness and ability to seek others' advices.
· Dynamic and creative person.
. Communication skills with authorities, communities and team.
· Sense of initiative
· Ability to observe, listen, understand.
. Ability to adapt to the context.
· Proficiency with word, excel.
· Good physical condition and ability to work in a challenging geographical context, under basic conditions and with a multi-ethnic team.
