Job Vacancy : Office Manager

The Office Manager, as part of Indonesia Country Management team, will
responsible to take leading role in overall Office management to provide all
supports to enable for office smooth operations and at the same time in line to
Department’s mission.

The Office Manager shall responsible for the followings.
1. Office Management and Office Services
* To design, maintain and manage all office space and layout, working area,
office equipment, meeting and office facilities to support office smooth
operations.
* With consideration of staff and visitor health and safety, all offices space
and facilities are kept and well maintained to be in good condition,
cleanliness, pleasant atmosphere and professionally.
* To establish, implement and enforcement of Green Office Policy and Office
Management policies in all Indonesia offices.
* To maintain log book and record of all office equipment and asset between all
Indonesia offices.

* To provide excellent office services to Greenpeace staff who works in all
Indonesia offices. The services are in relation to meeting facilities,
traveling arrangement, accommodation, stationeries, etc.
* To provide services to visiting Greenpeace staff from oversea, other person
who work in connection with Greenpeace. The services are in relation to
traveling arrangement, accommodation, VISA, work permit and /or other necessary
assistances to be rendered to foreigner.
* To manage and responsible of office budget to ensure cost efficiency and
effectiveness.
2. Office Security
* To be prime responsibility to establish, implement and enforcement of Office
Security Protocol in all offices to ensure Greenpeace Indonesia staff,
volunteer and all property are well safe guard, accessible/contactable and are
free from 3rd party liability.
3. Legal
* To ensure all Indonesia offices activity and operations compliance to all
concerned local law enforcement for an NGO/an organization. This includes
registration and report lodging.
* To consistently liaise and coordinate with legal adviser, Indonesia Country
Representation to proper response to the situation, especially during campaign
activity as well as to ensure GPSEA is well represent as good governance,
transparency organization.
4. Country Management Team
* As part of Indonesia Country Management Team, to assist/ coordinate in all
office integration activity. And to assist Indonesia Country Representative to
smooth out the country operations.
* Be part of Indonesia Country Crisis Management team to take action per
crisis protocol to ensure Greenpeace Indonesia staff, volunteer and property
are well safe guard during any crisis situation.
* Coordinate with other unit manager/team leader to ensure own unit staff
compliance to policy & procedure put in place.
5. Others
* Assist the ED and Indonesia Country Representative for Indonesia Board
Administration.
* To be authorized to line-manage and supervise other Organizational Support
functions to be able to provide services to support smooth Indonesia
operations.
* To coordinate with Organizational Support Functional Managers to ensure
country services align to regional standard and/or regional project/program
could be properly implemented.
* As part of Middle Management, the Office Manager shall assist the
Organizational Support Director and/or other person she would designate to
improve and implement policy and/or program to accommodate Organization
Mission, Strategy and Needs for office long term expansion and growth.

Basic requirements:
1. Minimum bachelor degree with minimum 5 years experience in similar position.
2. Strong planning, organizing and problem solving ability.
3. Demonstrate ability to work independently, take own initiative, fast
learner, self starter, be flexible, able to manage and prioritize numerous
tasks simultaneously and work well under pressure and tight deadlines.
4. Demonstrate leadership with management skills to manage a team and also
effectively manage unit’s work-load to full fill organization needs.
5. Committed and goal oriented, mature and takes an extremely proactive
approach with minimum 5 years of Office Management experiences with
international working environment and liaising with people from different
cultures based in different locations.
6. Possess offices management, office facilities, IT and computer skills
necessary to effectively handle day-to-day responsibilities. Effective
communication skills in English, both spoken and writing. Proven record of
integrity and appreciate Greenpeace Values.Please complete all items in the
