UMCOR-NGO’s Indonesia Mission (UMCOR-Indonesia) is seeking a Human Resources (HR) Officer to support operations and project implementation in the organization’s main office, Banda Aceh.

General Position Summary:
Under the direct supervision of the Operations Manager, the HR Officer will support the overall HR functions of the United Methodist Committee on Relief (UMCOR). He/she will implement personnel policies and procedures and would educate and advise all UMCOR staff on UMCOR’s personnel policies and related Human Resource procedures.
Essential Job Functions: Employment Contract,
Job Description and Notice Letter
· Prepare employment contracts and job descriptions with inputs from Program Managers;
· Prepare extension and renewal of employment contracts;
· Prepare notice letter when required;
· Prepare all HR related documents for contract termination;
· Update staff contract extension list;
· Provide advance alerts to Management for contracts that are reaching their respective
end dates;
· Maintain files of all original contracts and notice letters;
Recruitment
· Revise and post job advertisements;
· Assist in short-listing applicants;
· Make appointments with shortlisted candidates;
· Assist in the interview process;
· Conduct reference checks of identified candidates;
· Prepare offer letter, employment contract and other employment documents;
· Maintain files of all original contracts and other employment documents; Jamsostek
and Insurance
· Register all new staff to Jamsostek in liaising with Finance Department;
· Be the focal person for all Jamsostek and insurance company related claims and
questions;
Payroll
· Give input to finance on staff update for monthly payroll;
· Submit copy of new contracts to Finance; Staff Profiles, Contact List and Emergency Contact List
· Update staff contact list and emergency contact list on a monthly basis;
· Maintain and update staff profile data;
Monthly Time Sheet and Annual Leave
· Be in charge of collecting all monthly timesheets of national staff for payroll
purpose;
· Be in charge of collecting all monthly timesheet of international staff for
submission to HQ;
· Keep track of all annual leave of national and international staff;
· Liaise with staff and Senior Management to ensure strong communication and
coordination of all staff leave;
Disciplinary Measures
· Prepare warning letters and/or dismissal letters upon request of Management;
Training
· Find opportunities for staff training following requests of Management;
· Liaise with training institution and Admin Assistant to provide training for staff;
· Participate in planning staff capacity building as required;
International Staff Personnel Files
· Maintain and update international staff personnel files (timesheet, contract, JD, leave
request, performance appraisal) in liaison with Admin Assistant);
Reporting
· Prepare a periodic report to Head of Mission/Finance Director/Operational Manager as
requested;
Other duties as assigned by the Operations Manager or Head of Mission.
Qualifications:
· Minimum 2 years of relevant experience in Human Resources Management;
· Familiarity with HR compliance with Indonesian labor law is strongly preferred;
· Goodknowledgeof MS. Excel;
· Ability to prioritize and carry out assigned tasks;
· Strong organizational skills andability to take initiative;
· Ability to communicate in spoken and written English is required;
· Previous experience with international NGOs is strongly preferred;
· Team player with a strong work ethic;
